An order ships
Excel sheetSomeone has to remember to deduct it
RabehniOn hand drops when it enters «in shipping»
An Excel sheet tells you what you had yesterday. In Rabehni stock is tied to the order itself: what is held, what shipped and what came back intact, with nobody editing a number by hand.
One warehouse on Starter · 3 on Growth · unlimited on Pro · stock counts with approval on Pro
A held quantity cannot be promised to another order.
| Movement | On hand | Held |
|---|---|---|
| New order · no movement | 120 | 0 |
| Confirmation · in stock | 120 | 0 |
| Picking · hold 2 | 120 | 2 |

Inventory management software for ecommerce ties each product balance to the movement of the order itself. In Rabehni, a new order deducts nothing, stock is held during picking, and the real deduction happens when the parcel is handed to the carrier. Bundles deduct from their components, only good returns go back, and cost uses a weighted average.
An order passes four points, and each one has a single, clear effect on the balance.
An order that has just arrived from the store or a sheet does not touch the balance. A customer who has not confirmed yet takes nothing away from what you can sell.
If the quantity is there, the order is confirmed. If it is short, it becomes Reserved and keeps its place. When stock increases, the oldest order is checked first and confirms itself once every line can be filled.
When the warehouse picks an order from the pick list, its quantity is held so it cannot be promised to another order. The two-scan pick list is available from the Growth plan.
The balance drops when the order moves to In Shipping. If it is canceled or sent back to waiting for stock before then, the hold is released and the quantity is available again.
| Product | Reason | Available | Short since | Purchasing |
|---|---|---|---|---|
| Jeans · Size 32 | Out | 0 | 4 days | Ordered · due 12/11 |
| Hoodie · Grey · XL | Orders need more | 6 | 2 days | Not yet |
| Cotton cap | Under the limit (10) | 8 | Today | Not yet |
Your plan sets how many warehouses you can add, and each limit is listed on the pricing page. A team member assigned to a warehouse sees only that warehouse's shortages.
Pick the product, source warehouse, destination warehouse and quantity. If the source balance is too low, the transfer is refused and the screen tells you what is there.
Each product has an alert level, and one buy list shows what is out, what reserved orders need beyond stock, and what fell below its level. Each row shows how long it has been short and which bundles use it, and you can mark it ordered with an expected date.
The system checks stock every hour and sends an in-app notification when a product reaches the level you set. The default is 10 pieces and you can change it in settings.
The warehouse counts and the accountant approves. Approval is available on the Professional plan.
| Product | Should be on the shelf | Counted | Variance | Result |
|---|---|---|---|---|
| Cotton T-shirt · Black · L | 116 | 116 | 0 | Matches |
| Cotton T-shirt · White · M | 60 | Blank | Not calculated | Not counted |
| Cotton cap | 8 | 0 | − 8 | Explicit zero |
| Canvas bag | 50 | 18 | − 32 | Stop: write a reason |
The warehouse keeper records the count from a phone as a draft, and the accountant gets a notification. Until approval there is no stock movement and no journal entry.
The count sheet shows what the shelf should hold: the balance minus pieces packed and waiting for the courier. Each line records when it was counted, so the difference is measured from that moment, not from approval.
An empty line means not counted, and an explicit zero means none. Counts work per flavor or size, and bundles are left off the sheet because their stock comes from their components.
Approval stops if the count would push available stock below zero, or cut half or more of the balance by 10 pieces or more. Passing it takes a written reason, and then the stock movements and variance entry are recorded.
A bundle has a recipe (BOM) listing components and quantities. Holds and deductions apply to the components, and what is available is the number of complete bundles the components can make.
A bundle's cost is each component's cost times its quantity, plus extra costs you define such as the box, a sticker or assembly labor.
One level only: no bundle inside a bundle. Quantities are whole pieces. A recipe refuses edits while orders on it are reserved or being picked, so you create a new version of the bundle instead.
Each product's cost is a weighted average from the cost ledger. A product with no recorded cost stays at zero and its cost of goods sold is skipped rather than invented. Entries appear in accounting from the Growth plan.
A number, a supplier and lines with quantity and price, moving from draft to closed, then becoming a supplier bill in accounting.
The warehouse picks orders from one list and their quantities are held. From the Growth plan.
Each piece is marked intact, damaged or missing, and only intact pieces restore stock.
In Rabehni, a new order deducts nothing. The quantity is held when the warehouse picks the order, and the real deduction happens when the order moves to In Shipping at carrier handover. If it is canceled before that, the hold is released and the quantity is available again.
In Rabehni, the order becomes Reserved instead of confirming against stock that is not there. When the balance rises through a purchase or a good return, orders are checked oldest first, and one whose lines can all be filled confirms itself. The Shortages screen shows the quantity to buy.
Yes, within your plan's limit, which is listed on the pricing page. Rabehni transfers quantities between warehouses and refuses a transfer if the source balance is too low. An order deduction, however, moves the product's total balance rather than a specific warehouse's balance.
Yes. Rabehni checks hourly and sends an in-app notification, with a default level of 10 pieces that you can change in settings. The Shortages screen also lists what is out, what reserved orders need beyond stock, and what fell below its product level. The alert is in-app, not WhatsApp or email.
In Rabehni, the warehouse keeper records the count on a phone as a draft with no effect, and the accountant approves it from accounting on the Professional plan. The difference is measured from the moment of counting, and a blank line means not counted. A large variance stops until someone writes a reason.
A bundle in Rabehni has no stock of its own. Holds and deductions apply to the components in its recipe (BOM), and what is available is the number of complete bundles those components can make. A good return credits the same components. Recipes are one level deep with whole-piece quantities.
Rabehni uses weighted average cost from its cost ledger, with no FIFO or LIFO costing. A bundle's cost is its components' cost times their quantities, plus any extra costs. A product with no recorded cost is skipped in cost of goods sold rather than given an invented figure.
No. Rabehni takes the order from Shopify and keeps the balance on its side, but it does not write quantities back to your store's products. If you rely on Shopify's counter to stop selling, you need to adjust it there.
In Rabehni a short order is not confirmed on goods you do not have. It waits its turn, and when stock arrives the oldest is reviewed first. A picked quantity is held and cannot be promised to another order. Rabehni does not stop sales on a Shopify store, so that counter has to be set there.
The count sheet shows what should be on the shelf: stock minus picked pieces waiting for the courier. Each line records when it was counted, so the variance is worked out from that moment and not from approval.
