Ecommerce returns management software
A returned parcel carries both goods and money. Rabehni tracks it to the warehouse door and it gets inspected piece by piece. Only good pieces go back into stock, and damaged or missing ones become a recorded loss or a claim you can follow up.
What is ecommerce returns management software?
Ecommerce returns management software tracks a returned parcel from the carrier until it is inspected and its accounts are closed. In Rabehni, the warehouse scans the parcel and marks each piece good, damaged or missing. Only good pieces go back into stock, and the rest become a recorded loss or a claim on the carrier or supplier.
The return path from carrier to warehouse
Return under review
When Bosta reports a parcel returned to the merchant, the order moves to Return Under Review on its own and the warehouse is notified. Your team can also set this status by hand for any other carrier.
Reminders when nobody scans it
After 24 hours the system reminds the warehouse, up to 3 times with a gap between them. After 7 days it opens a high-priority issue. It never closes the return by itself, so you can still claim from the carrier if the parcel did not really arrive.
Receiving a batch from a Bosta courier
The warehouse opens a batch with the parcel count, scans each parcel at the door with the courier present, and can undo the last scan or change a parcel's condition. Nothing touches stock until the batch closes, and rejected parcels go back with the courier.
Bosta returns reconciliation
One screen compares what Bosta says it handed back with what the warehouse actually scanned. For a missing parcel, you receive it if it turns up or mark it Not in Warehouse, which opens a claim.
Inspection and restocking
A condition for every piece
Each line is recorded as good, damaged or missing. A damaged or missing piece cannot be received until you choose its outcome: write-off, carrier compensation or supplier compensation.
Only good pieces return, with a cap
Stock rises for good pieces only, and never by more than the shipment actually took. A bundle goes back to its own components. A second receipt of the same order is refused, even if two screens try at the same moment.
Returns serve waiting orders
When a good piece returns to stock, the system checks Reserved orders from oldest to newest. An order whose lines can all be filled confirms itself.
The old item in an exchange
In an exchange the order stays Delivered, and the employee picks the product and size that came back. A good item returns to the shelf, a damaged one is written off, and a missing one becomes a carrier claim.
Return reasons
Your own reason list
In settings you set up return reasons in your own wording, alongside cancellation and failure reasons, so one reason is not typed five different ways.
The reason at receipt
The warehouse can add a reason and notes at the scan, saved on each returned line along with who received it and when.
A log of every receipt
Each receipt writes the good, damaged and missing counts, the reason and the person responsible to the order's activity log.
Return settlement and claims
Carrier claims open on their own
A damaged or missing piece marked for carrier compensation opens a claim, with one open claim per order. If the parcel later turns up in good condition after a lost claim, that claim is withdrawn.
A deadline on each claim
Each claim has a deadline from its report date, set per carrier: 14 days for Bosta and a 14-day default for other carriers. The Compensations hub groups claims by carrier and exports them as xlsx, csv or pdf.
Settlement with four outcomes
Return claims close in one of four ways: replacement goods, full cash, partial cash with the rest as a loss, or rejection with the full amount as a loss. The screen is in accounting from the Growth plan, and each outcome posts its entry.
Entries with the receipt, not after it
Loss and claim entries post at weighted average cost inside the same receipt. If an entry fails, the whole receipt rolls back. A return that never reached the customer and goes back on the shelf books no phantom profit.
Limits you should know
Batch receiving and returns reconciliation work with Bosta only. Other carriers' returns are received by scanning each parcel.
There is no self-service portal for customers to request a return: a return starts from the carrier or your team.
A reason is not mandatory at receipt, so the reasons report is only as accurate as your team's entries.
Asking the customer for the return reason on WhatsApp is still a limited pilot and is not available to every account.
Questions about returns management
How do I manage ecommerce returns?
In Rabehni, a returning order enters Return Under Review, the warehouse scans the parcel and marks each piece good, damaged or missing. Good pieces return to stock, and the rest become a loss or a claim. After 24 hours with no scan a reminder goes out, and after 7 days an issue opens.
Do returned items go back into stock automatically?
Not without a scan. In Rabehni, the balance does not change until the warehouse actually receives the parcel, and only good pieces go back, never more than the shipment took. On receipt, Reserved orders are checked oldest first and confirm if they can be filled.
What happens to damaged or missing items in a return?
In Rabehni you must choose its outcome before receipt: write-off, carrier compensation or supplier compensation. It does not return to stock in any case. Compensation opens a claim, which settles through replacement goods, full or partial cash, or rejection.
How do I check that the carrier returned all my parcels?
With Bosta, Rabehni has a reconciliation screen that compares Bosta's hand-overs with warehouse scans and shows missing parcels. You receive one if it turns up, or mark it Not in Warehouse to open a claim. Other carriers get the Return Under Review status and warehouse reminders, without a reconciliation screen.
How do I claim compensation from a carrier for a return?
In Rabehni, a damaged or missing piece marked for carrier compensation opens a claim on its own, with a deadline: 14 days for Bosta and a 14-day default for others. The Compensations hub groups claims by carrier and exports them as xlsx, csv or pdf for you to submit to the carrier.
How can I track return reasons?
In Rabehni you set up a reason list in settings, the warehouse can add a reason at the scan, and the reason shows next to the order status in the orders list. A reason is optional at receipt, so accuracy depends on your team.
How do returns affect accounting and profit?
In Rabehni, losses and claims post at weighted average cost inside the same receipt, and if an entry fails the whole receipt rolls back. A good return that never reached the customer posts nothing, because its cost was never recorded. Claim settlement is in accounting from the Growth plan.
