How to choose cash-on-delivery order management software

14 criteria to test any system while you trial it on real orders from your store. Tick a criterion when the system you are trialling passes it, and the counter below adds them up.

This page is published by Rabehni. The criteria are general and apply to any system. Under each one is Rabehni's own answer, including “partly” where that is the truth. 7 criteria are marked core: if a system fails one of them, you will make up for it with manual work every day.

Everything stays in your browser. Nothing is sent to the server or stored.

Getting orders in

Core

Every order moved by hand reaches confirmation later, and in cash on delivery a late call means more refusals at the door.

Test it: Place a test order on your store and time how long it takes to appear.

Rabehni: yesShopify, WooCommerce and other platforms by webhook, the moment the customer orders.

Core

An order lost to a wrong product code is a customer you paid to acquire and nobody called.

Test it: Order a product whose code differs and see what happens.

Rabehni: yesOn Shopify the order arrives and alerts you until the product is mapped.

Confirmation

Core

Without clear assignment one order gets two calls and another gets none.

Test it: Create two agents, assign orders and sign in as each.

Rabehni: yesThe manager assigns orders. Agents and the manager each get a dashboard.

A number that refused three orders needs a different call from one that received three.

Test it: Place two orders on one number, cancel one, and open the other.

Rabehni: yesDelivered, failed, returned and cancelled counts per number, with alerts for an open order or the same product within 48 hours. Alerts advise; they do not block a duplicate.

If one reason is typed five ways you cannot count which reason costs you most.

Test it: Cancel an order and see whether it asks why.

Rabehni: yesA reason list you can rename. An agent without permission sends a cancellation request to the manager.

Shipping and cash

Core

Uploading a sheet to the courier every day produces wrong tracking numbers, and a wrong number breaks collection later.

Test it: Connect your courier account, ship one order, and compare its tracking number with the courier dashboard.

Rabehni: yesBosta end to end. Other couriers have built connections switched on with support.

If someone checks the courier dashboard by hand, stuck shipments are found late.

Test it: Follow a test shipment for two days and see if its status changes without you touching it.

Rabehni: yesBosta by webhook, with a link and key unique to your account.

Core

In cash on delivery a sale is not money until it is transferred. Dues nobody counts get forgotten.

Test it: Ask to see the screen that shows dues per courier by age.

Rabehni: yesDues per courier in four ageing bands, with the oldest order's age.

A 50-pound gap on one line will not show when you check a 2,000-line file by eye.

Test it: Upload a real settlement file and see whether missing and mismatched lines show on their own.

Rabehni: yesCSV or Excel upload with a preview before anything is recorded. Gaps show; disputing them with the courier is up to you.

Stock and returns

Core

If it drops when the order arrives, cancelled orders eat stock that was never sold. If it drops after delivery, you sell what you no longer have.

Test it: Follow one product's stock from order to cancellation or dispatch.

Rabehni: yesNo deduction on a new order, a hold at picking, and the real deduction at handover to the courier. Quantities are not pushed to your store.

Returns put back on the shelf without inspection leave your stock higher than reality.

Test it: Receive a test return and mark one item damaged.

Rabehni: partlySound, damaged or missing per item, and only sound items return to stock. Batch receiving and return matching are Bosta only; other couriers are scanned parcel by parcel.

Profit

Core

Sales can grow while profit falls in the same month when returns or ads rise. Sales alone will not tell you.

Test it: Ask for the profit screen for one month and count the items it subtracts.

Rabehni: partlyNet profit for any period after goods, shipping, return shipping, Meta ads and expenses. There is no net profit per order, and only Meta ad spend comes in automatically.

Team and contract

An agent does not need to see profit, and a warehouse worker does not need to cancel orders.

Test it: Create an agent role, sign in with it, and try to open the reports.

Rabehni: yesPermissions per role, such as direct cancellation and discounts below the limit.

A per-order fee grows with you and charges a returned order the same as a delivered one.

Test it: Ask for the pricing page and each plan's limits in writing before you pay.

Rabehni: yesMonthly plans in EGP, with no setup fee and no per-order fee, and each plan's limits on the pricing page.

Common questions

How do I choose order management software?

Trial it on real orders from your store and go through the core criteria: orders arrive on their own and are never lost, confirmation is split across agents, shipments are created from the system, you can see the cash each courier holds, stock drops at the right moment, and net profit is shown after returns and ads.

Why does this page not compare named products?

Named comparisons go stale fast because every product changes monthly. These criteria stay valid, you apply them yourself to any system you trial, and Rabehni's own answers sit beside them for comparison.

How many criteria are core?

Seven of fourteen. If a system fails any of them, you will make up for it with manual work every day.
